The primary objective of the Public Relations Office is to cultivate a positive and reciprocal relationship between the district and its stakeholders. The PR office serves as a liaison for students, staff, parents, community members, and taxpayers. The WISD Office of Public Relations is dedicated to disseminating news promptly, embracing innovative technology, engaging the community, and positioning WISD as a leading school district. The PR office is committed to furthering the district's mission of "Excellence in Education."

Media Relations

The WISD Public Relations Office is responsible for coordinating news coverage and managing official communications between the school district and the news media. The office generates story ideas for media outlets, including newspapers, television, and radio, and facilitates the arrangement of suitable interviews. Additionally, the office provides assistance and training to administrators to enhance their interactions with the media. All district-wide news conferences and public events requiring media coverage are to be coordinated through the Public Relations Office.

Advertising
- Waxahachie ISD offers limited advertising opportunities within its athletic facilities and on its athletic website. These opportunities are managed by the Waxahachie ISD Athletic Department and/or the athletic booster clubs. Email the Athletic Director, Brian Rogers, for further information on athletic advertising.
- At the campus level, there may be specific event sponsorship opportunities available through the PTO or the campus itself, which could include advertising on items such as t-shirts or event-specific signage. These opportunities will be evaluated on a campus-by-campus basis. If you are interested in campus sponsorships but do not have an existing relationship with a campus, the Office of Public Relations is available to assist in making introductions.
- At this time, the district does not provide any additional advertising opportunities.

Coupons & Incentives
- Coupons or incentives must receive prior approval from the Office of Public Relations before being distributed to campuses. This requirement includes branded items, such as pencils, pens, lanyards, etc.
- Upon approval, coupons or incentives must be pre-counted and labeled by the respective campus and then delivered to the Waxahachie ISD Administration Building. The Office of Public Relations will handle distribution to the campuses.
- Campus principals have the authority to decide the appropriate usage and timing of coupons and student incentives. These items should not be sent home in bulk within student folders.
- Student coupons or incentives must be completely free of charge to the student, and there must be no requirement for the student, parent, or guardian to make a purchase to receive the free item.
- Employee coupons or incentives are distributed at the Office of Public Relations' discretion.
- If a business is interested in providing something to employees of a specific campus, such as a campus-wide meal or snack for employees, it should contact the campus principal to make arrangements for a date and time. No business sales or solicitation may happen as a part of this event, but representatives of the business may stay on campus to greet employees and help serve.

Employee Businesses
Employees, as well as their family members who own businesses, are prohibited from utilizing school facilities or district time for the promotion of these businesses. This policy encompasses activities such as the delivery of ordered products, the operation of "pop-up boutiques" on district property, and the use of district email accounts for promotional purposes.

Non-School Literature Distribution
- Non-school literature, including flyers, postcards, brochures, posters, and similar materials, may only be distributed by non-profit organizations. These organizations must provide a copy of their 501(c)3 tax designation.
- All non-school literature must receive approval from the Office of Public Relations before distribution. Call (972) 923-4631 for assistance.
- All non-school literature must include the following disclaimer statement printed at the bottom of the document in bold, capital letters: “This organization and its activities are not related to or sponsored by the Waxahachie Independent School District.”
- Non-school literature is not permitted to be sent home in student folders and may only be placed on information tables in campus front offices. Each campus is allowed up to fifty (50) items of non-school literature on the information table.
- Once approved by the Office of Public Relations, pre-counted stacks of 50 documents may be delivered to the Waxahachie ISD Administration Building for each of the fifteen campuses. The Office of Public Relations will then distribute these items to the respective campuses.

Non-School Literature Distribution, Advertising, and Business Involvement on Campuses
Waxahachie ISD highly values its partnerships with businesses and organizations within the community. In recognition of these relationships, there may be occasions when a business wishes to leverage its connections with the district for marketing purposes. To ensure fairness and equity in all partnerships, the district has established the guidelines listed below.

Non-School Posters, Banners & Yard Signs
Non-school-related posters or banners are prohibited from being displayed in any Waxahachie ISD facility, and non-school-related yard signs or banners are not permitted on any Waxahachie ISD property.

On-Campus Business Solicitation
No business or entity is permitted to sell products or solicit business from employees, students, or their families on any Waxahachie ISD campus.

Presentations to Students, Parents & Employees
- There is considerable value for both students and employees in acquiring expertise from community partners. However, any presentation by a business to students, parents, or employees must solely aim to convey information, not to promote the business.
- Presentations to students should complement their classroom education and align with state standards appropriate for the respective grade level. Business products or services should not be mentioned. While presenters may introduce themselves by sharing their credentials and business affiliation, they must avoid further references to their specific business.
- For presentations to parents or other adult groups, such as Lighthouse for Learning, the content must be strictly informational and not serve as a means to solicit business.
- Although businesses are prohibited from soliciting on campus, there are occasions when it may be appropriate to present certain topics, such as continuing education or retirement plans, to employees. These opportunities are limited and require prior approval from the Office of Public Relations, followed by approval from the campus principal.

Graphic Standards
In 2013, Waxahachie ISD established graphic standards and trademarked several logos, images, and wordmarks. These standards and guidelines have been set to ensure a uniform and professional appearance for all information distributed under the district's name and for products and services that represent the district. To maintain the integrity and image of Waxahachie ISD, permission must be obtained from the Office of Public Relations, and a licensing agreement must be on file, before using any official images or logos of the district.

Institutional Mark
Waxahachie ISD embodies a distinctive visual identity, starting with the district's official logo. This logo represents our "brand" or "image" to the community, state, and the world. Our brand is to remain consistent across all mediums, ensuring that stakeholders continue to perceive Waxahachie ISD as a school district committed to "Excellence in Education."
Proper Use of the Trademarked District Logo
- The use of two-color layouts featuring the approved Waxahachie ISD district logo has been sanctioned. The logo is permitted to be used in green (Hex #128e36) and black.
- The second mark of the district is the single "W" in green (Hex #128e36) and black.
Please be advised that these logos are trademarked, and permission to use them must be obtained from the Office of Public Relations. Additionally, the logos must be used in the specified colors. Upon approval, the Office of Public Relations will require the opportunity to review the materials on which the district's logos will be utilized.

These logos represent the "brand" or "image" of our institution to the community, state, and beyond. Our brand must remain consistent across all mediums to ensure that our stakeholders continue to perceive Waxahachie ISD as a district that embodies "Excellence in Education."
- To use the campus and athletic logos and wordmarks trademarked by Waxahachie ISD, it is necessary to obtain permission and adhere to the district's graphic standards. Color Guidelines
When printing on paper, screen printing, embroidering, plastics, clothing, etc., the goal is to use the colors set forth by the district to provide a consistent image and brand for Waxahachie ISD and its high schools.

Official Name
The district's official name is Waxahachie Independent School District.
All internal and external communication, documents, flyers, and brochures should state Waxahachie Independent School District or, at minimum, Waxahachie ISD and not merely WISD. To maintain the integrity of the district's image, these guidelines have been established to provide for a uniform and professional appearance for information distributed in the name of the district. -
